Question title: Each question must have a title. It’s a required field and appears on the form as a label when the user fills in the question
Question code: Each question needs a unique code. One is generated by default when you start creating a new question, but you can overwrite this and give it a different code if you prefer. The question code doesn’t appear on the form itself, but you can use it to search and filter questions when adding them
Question type: File links
Required: You need to specify whether the question is required or not. If you set a question as required, the user must provide an answer to it on the form in order to submit the form. However, the user can save the form as a draft without answering required questions. If you try to submit a form without answering all required questions, an error message appears showing a list of the questions that haven’t been answered
Question description: Entering a description is optional. The description is used as a tooltip on the form and adds an exclamation point beside the question. If the user clicks the exclamation point, the description entered (tooltip) appears
Publish question as list field: Check this box to save the question to the SharePoint forms list. This allows you to report on the question from there
Show question title on form: Check this option if you want to display the question’s title to the left of the question’s input field. If you uncheck this option, the input field moves to the left and appears under the other questions/question titles
Render, but hide question on form: If you check this option, the question behaves as if displayed by default. Default value, publishing, and calculation apply despite the question not being displayed on the form
Form operation
An + Add links button is displayed on the form when a File links question is used.
When you click the + Add links button, a SharePoint file picker is displayed. The left panel shows the SharePoint site collections from which files can be selected; these site collections are defined in FlowForma settings.
When you click one of the site collections, it expands to show the sites it contains. Select the site you require, and the middle panel shows the document libraries contained in the site selected in the left panel.
Click the document library you require in the middle panel, and the files contained in that library are displayed in the right panel.
To select the file(s) you require, check the checkbox next to the file; the file is added to the Files selected panel at the bottom of the picker. To remove a file, either uncheck the checkbox next to the file, or click the x next to the file in the Files selected panel.
You are able to add links to files contained in different sites available in the SharePoint file picker with the same question. Select a different site in the left panel and library in the middle panel. The files selected from the original site are retained and files from the newly selected site are added.
If you want to attach links to all the files in the library, check the Select all… checkbox. When you’ve selected all the files required, click OK.
The selected links are now displayed on the form. Prior to submitting the form, you’re able to:
- Delete links from the question by clicking the X next to the link
- Add additional links by clicking the + Add links button
When the step in the form has been submitted, the links are displayed but cannot be edited.
The SharePoint file picker is not supported on mobile.
