Overview
AI Summarisation is an AI-powered feature in FlowForma 8 that automatically generates a concise summary of form responses using generative AI. It helps approvers, reviewers, and other stakeholders quickly understand the key information in a submitted form without having to read through every question and answer.Key components
AI Summarisation consists of two parts that work together:Summarisation rule
A business rule that you configure on your flow. It selects which questions to include in the summary, where to output the generated text, and what context to use when generating the summary. The context can be based on the Form title, Step title, or Free text you provide.Summarisation Feedback question
A special question type that displays a Like / Dislike button on the form after a summary is generated. This allows users to rate the quality of the summary, helping FlowForma continuously improve the AI model.How it works
- A user fills in a form and triggers the configured event (e.g. form completion, step save).
- The Summarisation rule sends the selected questions and context to the AI.
- The AI generates a summary and writes it to the designated output question.
- The user can optionally provide feedback using the Summarisation Feedback question.
Common use cases
- HR onboarding: when a new hire completes an onboarding form capturing details such as their role, start date, equipment requirements, and system access needs, the Summarisation rule can generate a concise overview. This summary can be automatically routed to the relevant manager or IT team, saving them from reviewing the full form and speeding up provisioning.
- Expense approvals: when an employee submits an expense claim with multiple line items, receipts, and business justifications, the Summarisation rule can produce a short summary including the total amount, expense categories, and stated reason. Finance approvers get the key facts at a glance without needing to open every attachment.
- IT access requests: when a user requests access to systems or applications, the form may include details about the systems required, access level, business justification, and manager sign-off. The Summarisation rule can condense this into a brief summary for IT admins, helping them assess and approve requests more quickly.
- Incident reporting: when an employee files an incident report covering what happened, who was involved, the impact, and any immediate actions taken, the Summarisation rule can generate a clear, concise summary. This makes it easier for compliance or safety teams to triage, escalate, or log the incident without reading through lengthy form responses.
- Purchase requests: when a team member submits a purchase request detailing the items needed, estimated cost, supplier, and business justification, the Summarisation rule can produce a brief overview for budget holders or procurement teams. This helps decision-makers approve or query requests faster, reducing back-and-forth.
