A multiple lines of text question is used when you want the user to enter a block of text. You can specify how many lines of text will be available (the default is 2), and you can decide if it’s plain text or rich text (a WYSIWYG editor will be available). Multiple lines of text question settings
  • Question title: Each question must have a title. It’s a required field and appears on the form as a label when the user fills in the question.
  • Question code: Each question needs a unique code. One is generated by default when you start creating a new question, but you can overwrite this and give it a different code if you prefer. The question code won’t appear on the form itself, but you can use it to search and filter by when adding questions.
  • Question type: multiple lines of text
  • Required: You need to specify whether the question is required or not. If you set a question as required, the user must provide an answer to it on the form to submit the form. However, the user can save the form as a draft without answering required questions. If you try to submit a form without answering all required questions, an error message appears showing a list of questions that haven’t been answered.
  • Question description: It’s optional whether you enter a description. The description is used as a tooltip on the form and adds an exclamation point beside the question on the form. If the user clicks on the exclamation point, the description entered (tooltip) appears.
  • Publish question as list field: Check this box to save the question to the SharePoint forms list. This allows you to report on the question from there.
  • Number of lines for editing: Enter the number of lines you want the user to have available for entering text. This acts as the height of the text area displayed and can be extended if more lines are needed when entering text in the form. The default is 2, but you can set a smaller or bigger limit.
  • Number of characters in a line: You need to specify how many characters can be entered in one line of text. This acts as the width of the text area displayed. The default is 60, but you can set a smaller or larger limit. When this limit has been reached, you’ll move to the next line.
  • Specify the type of text to allow: Depending on how much formatting is required, you can select plain text (no editor), or rich text (a WYSIWYG editor).
  • Raw text input: This option is only available for plain text. Check this box to store the answer exactly as entered, without HTML encoding/decoding applied.
  • Generate in document with text formatting: If you check this option, when this question is used in a document template, any formatting added to the answer is displayed in the generated document. This option is only available for rich text.
  • Paste text only: This option is only available for rich text. Check this box to strip formatting from pasted content so only plain text is pasted into the answer.
  • Auto resize by content: Check this box to have the text area automatically resize to fit its content.
  • Show question title on form: Check this option if you want to display the question’s title to the left of the question’s input field. If you uncheck this option, the input field is moved to the left and appears under the other questions/question titles.
  • Render, but hide question on form: If you check this option, the question behaves as if displayed by default. Default value, publishing, and calculation apply despite the question not being displayed on the form.
Once you’ve entered all relevant information, click save. If you don’t want to save the question or the changes you’ve made, simply click close.
