Use this rule to change the state of questions in a form. A question can be in one of four states: hidden, shown, enabled, or disabled. New questions default to “shown” and “enabled”; you can change this in the Flow designer. Any changes you make to a question’s state in the business rule override the state set in the flow definition. Hide/show question rule configuration

Title

The first part of the business rule lets you define a title for your rule and select the event on which it operates. The default title is the standard FlowForma rule name; change it by deleting the text and entering your own. In the event field you determine when the rule is executed. For a flow this can occur when the form is loaded, started, or completed. For a step this can occur when the step is started, saved, or completed. For questions it can occur when the question is updated.

Rule condition(s)

The second part of the business rule lets you set conditions. These are not required, but if entered they control when the rule is executed in relation to other items in the form.

Rule actions

  • Question: the drop-down lists the steps from the current flow; expand each step to see its questions, then select the question required.
  • Action: show, hide, enable, or disable the question.
  • Click Add when you’ve created the rule. You can add additional rules underneath.
  • Enable automatic rule reversal: checked by default; automatically triggers the opposite rule conditions. For example, if your original rule is “show sales employee bonus question if position equal to sales”, the opposite rule is “hide sales employee bonus question if position not equal to sales”. In the reversal, each condition operator is replaced by its opposite (equal to → not equal to, greater than → less than, etc.), “or” becomes “and” and vice versa, and the action is reversed (hide → show, enable → disable).
  • Overwrite repeating table rows: if this rule is applied to a repeating table, the rule action is also applied to the table cells.
  • Stop execution: if stop execution is enabled and this rule is executed, no other rules are executed.
  • Enabled: rules aren’t saved to a list like questions and steps are, so if you want to stop a rule executing without deleting it, toggle this option to enable or disable the rule.
  • Enable audit: if checked, a record is added to the audit trail when this rule is executed. This option is available when the Compliance feature pack is activated.
